Details of the discussion on agenda points :

  • The AGM was called through various social and electronic media like WhatsApp, Facebook, and e-mails and approx. 30 members were present in the meeting.
  • AGM started with a welcome address by Mr. Chinmay Baruah, anchor for the evening. He requested Looitporia President Mr. Chandan Thakur, General Secretary Mr. Ranjit Saikia, and Advisor Major Bipul Goswami to preside over the meeting.
  • General Secretary of Looitporia Mr. Ranjit Saikia presented the detailed Annual Report for FY18:
    • In his report, Mr. Saikia provided a brief on all the events conducted by Looitporia during FY18: Tirubhav Tithi of Mahapurush Shrimanta Shankar Dev, Commemoration of Dr. Bhupen Hazarika on his death Anniversary, Magh Bihu, Blood Donation Camp, and Rongali Bihu were the main functions organized by Looitporia during the year.
    • A vote of thanks to Shri B. V. Papa Rao, IAS (retd.), Advisor to the Government of Telangana, Policy & Institutional Development and Shri Harikrishna Mamidi, Director, Department of Language and Culture, Government of Telangana for their continuous support to Looitporia was passed by the General Body.
    • Mr. Saikia mentioned about the whole-hearted support from the Assamese community residing in Hyderabad for all the Looitporia events. Mr. Saikia emphasized on the recent Bohag Bihu Celebrations in Hyderabad, wherein Looitporia received an overwhelming response from the community, with an unprecedented turnout.
    • The Annual Report revealed that it was a very successful year for the Executive Body as far as its aims and objectives are concerned and with the support and participation from the people, the Executive Body can take Looitporia to much greater heights.
  • Looitporia Treasurer Mr. Angsuman Deka submitted the Financial Report of the year and provided a detailed account of the income and expenditure for each event. He also presented the current financial status of Looitporia, including the fixed deposits the society has in SBI. The Financial Report was passed by the members present in the AGM.
  • Following the Financial Report, General Secretary of Looitporia Mr. Ranjit Saikia tabled three resolutions before the General Body:
    1. Resolution 1:
      • Increase in the Looitporia annual membership amounts
      • Introduction of three new categories of membership:
        1. Lifetime Individual Membership
        2. Lifetime Family Membership, and
        3. Patron
      • Rights and benefits of each membership category was explained in detail
      • The General Body was in consent and passed the resolution.
    2. Resolution 2:
      • Tenure of the Looitporia Executive Body to be of two years.
      • The General Body was in consent and passed the resolution.
    3. Resolution 3:
      • The size of the Looitporia Executive Body to be restricted to 20 members.
      • The general Body was in consent and passed the resolution.
    4. Resolution 4:
      • Existing three signatories for Looitporia Bank Account to continue.
      • The General Body was in consent and passed the resolution.
  • FY18 Experience Sharing by Pranjal Kumar Bora:
    • Looitporia Communication Secretary, Pranjal Kumar Bora shared the need for commitment from members wanting to be part of the Executive Body.
    • Pranjal mentioned the contribution of non-Executive Body members in FY18.
    • Pranjal also mentioned the need to maintain Looitporia’s relationship with the Government of Telangana and it’s officials.
    • Pranjal emphasised the need for a membership drive.
    • Pranjal talked about strengthening Looitporia’s social media presence and the website for greater coverage.
    • Pranjal also mentioned the poor turnout of Assamese community members in the Blood Donation Camp organised by Looitporia. This indicates the need for community activities to generate awareness.
  • FY18 Experience Sharing by Kollol Goswami
    • Kallol talked about the contribution of some of the Executive Body members in organising Looitporia events.
  • Suggestions and Feedback by Looitporia members and General Discussion on the Way Forward:
    • Ms. Agneerekha Goswami suggested creation of a Looitporia Membership Directory that can be used to generate revenue.
    • Ms. Agneerekha Goswami suggested creation of a Looitporia Brochure to solicit sponsorship.
    • Proposal to issue membership cards for members was tabled.
    • Major Bipul Goswami (Retd) suggested the following:
      • Area-wise breakup of existing Executive Body members and allocating responsibilities to these members to make an effort to enrol new members.
      • Increase entry fee for Looitporia events for non-members to improve fund status.
      • Set up stalls of indigenous textile/ornaments during Looitporia events to earn revenue.
      • Collaborate with Assam Tourism to organize an event in Hyderabad and generate revenue.
      • Collaborate with the Government of Telangana to organise events to showcase Assam.
      • Divert users from Facebook to the Looitporia website to improve visibility and accessibility. Make better use of the website for information sharing with the larger diaspora. A working model for the website needs to be discussed and developed.
      • What is the reason for poor turnout in the Looitporia General Body Meeting? Needs introspection. Combine other events with AGM to drive participation. Personal effort from members are required to solicit membership.
  • Addition of new members to Executive Committee
    • As per consent of the General Body, following will be the new Looitporia Executive Body for FY19 and FY20:
      • President: Mr. Chandan Thakur
      • Vice President: Mr. Kallol Goswami
      • General Secretary: Mr. Pranjal Kumar Bora
      • Joint Secretary: Mr. Nayan Jyoti Mazumder
      • Event Management Secretary 1: Mr. Chinmay Baruah
      • Event Management Secretary 2: Mr. Rupjyoti Bora
      • Event Management Secretary 3: Mr. Pranoy Dutta
      • Cultural Secretary 1: Mr. Krishna Kanta Baruah
